By accessing or using ChatFlow ("we", "our", "us"), you agree to be bound by these Terms of Service. If you are using the service on behalf of a business, you represent that you have authority to bind that business.
ChatFlow provides an AI-powered conversational platform that enables businesses to automate customer interactions via WhatsApp, website chat, and other channels. The service includes chatbot flows, intent recognition, lead management, product catalogues, and analytics.
Each customer (tenant) is responsible for its users, content, and compliance with applicable laws. You must provide accurate registration information and maintain its confidentiality.
The AI may generate responses based on your inputs and training data. We do not guarantee that AI outputs are accurate, complete, or error‑free. You are solely responsible for reviewing and approving AI responses before they are sent to end users.
You may not use the service for: illegal activities, harassment, hate speech, spam, malware distribution, or any purpose that violates applicable laws. We reserve the right to suspend accounts that engage in prohibited conduct.
We retain all rights to the ChatFlow platform, software, and underlying technology. You retain ownership of your data, training materials, and configurations. You grant us a limited license to host, use, and process your data to provide the service and improve our AI models (subject to your opt‑out rights).
Our Data Policy governs how we collect, use, and protect your data. By using the service, you consent to such processing.
Fees are as described on our pricing page. Unless otherwise stated, payments are due in advance. Late payments may result in suspension. All fees are non‑refundable except as required by law.
Either party may terminate this agreement with written notice. We may suspend or terminate your account immediately for material breach (e.g., non‑payment, prohibited use). Upon termination, your data may be deleted after the applicable retention period.
The service is provided "as is" and "as available". We disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non‑infringement.
To the maximum extent permitted by law, we shall not be liable for any indirect, incidental, or consequential damages. Our total liability shall not exceed the fees paid by you in the six months preceding the claim.
These terms shall be governed by the laws of Kenya. Any disputes shall be resolved in the courts of Nairobi.
We may update these terms from time to time. Material changes will be notified via email or dashboard notice. Continued use after the effective date constitutes acceptance.

Conversation logs are retained for 90 days unless deleted earlier. Account data is kept for the duration of your active subscription plus a reasonable period for legal or billing purposes. You may request deletion of your data at any time.

You must provide accurate, current, and complete information. Each tenant may have multiple users (agents, managers) with different permission levels. You are responsible for all activities under your account.
You must keep your login credentials confidential. You agree to notify us immediately of any unauthorised access. We are not liable for losses caused by compromised credentials.
We offer a free trial period as specified during registration. The trial includes full access to the features of a paid plan. At the end of the trial, you may choose a paid subscription or your account will be downgraded to a limited free tier (if available) or suspended.
Subscription fees are billed in advance (monthly or annually). You authorise us to charge your selected payment method automatically at the start of each billing cycle. Failure to pay may result in suspension or downgrade. All fees are exclusive of taxes; you are responsible for any applicable taxes.
You may cancel your subscription at any time from your dashboard. No refunds for partial months or unused time. Upon cancellation, your access will continue until the end of the current billing period, after which your account will be deactivated and data may be deleted following our retention policy.
We may suspend or terminate your account immediately if you violate these policies (e.g., non‑payment, prohibited use). You may also terminate by cancelling your subscription. We will make reasonable efforts to provide notice before suspension.
You can change your plan at any time. Upgrades take effect immediately and you will be charged the prorated difference. Downgrades take effect at the next billing cycle. Some data or features may be lost when downgrading.
Upon termination or cancellation, you may request a copy of your data in a machine‑readable format. We will provide it within 30 days, subject to reasonable limits.
Each plan includes specific usage limits (messages, AI tokens, storage, conversations per day). Exceeding these limits may result in additional charges or reduced functionality. We will notify you before imposing extra fees.
We may update this Account Policy. Material changes will be notified at least 30 days in advance. Continued use after the effective date constitutes acceptance.
